Program and
Administrative Assistant

Background:
Global Communities (GC, formerly known as CHF International) is an
international non-profit humanitarian and development organization that
works closely with communities worldwide to bring about sustainable changes
that improve the lives and livelihoods of the vulnerable. In Iraq, GC is providing emergency humanitarian assistance to individuals
displaced by the conflict in Iraq. GC is
seeking a full-time Program and Administrative Assistant to support project
implementation and office administration for GC’s humanitarian program
activities. The Program and
Administrative Assistant will be based in Kirkuk, and reports to the
Program/Operations Director.
Responsibilities:
- Assist the finance
and procurement teams in manitainaing financial files and ensuring that finance
and procurement documentation is organized, accurate, and up to date - Work with the
finance and procurement teams to ensure that the GC office has necessary office
supplies and equipment; create Purchase Orders for necessary supplies and
follow up on vendor payments - Support the
finance and procurement teams in reviewing and processing procurement and
payment documentation - Participate in
bid evaluations and analyses as required - Coordinate
local travel and logistics for staff as required - Ensure that
program documents are organized, filed, accurate, and kept up to date - Conduct the
necessary due diligence (OFAC) checks for vendors and suppliers and maintain
updated and organized documentation of all due diligence checks - Support the
project team in monitoring program activities and maintaining beneficiary
registration records, records of commodity distributions, and project
monitoring visits - Conduct site
visits as required to monitor and document program activities - Undertake all other duties and projects as may be assigned from time to
time.
Qualifications and Experience:
- Minimum of two years’ experience in administration or programming; prior
experience with an international non-profit or UN agency preferred.
- Strong computer skills; competence
in Microsoft Excel and Word required - University
degree in relevant field - Ability
to work well in unstable and frequently changing security environments; - Good command
of spoken and written Arabic, Kurdish, and English.
